Landing a large fair, festival or concert can feel like a major breakthrough for a portable restroom operator. The event may offer substantial revenue, introduce your business to new customers and create opportunities for future work. With those benefits on the table, saying yes can seem like the obvious choice.
However, a large contract is only a good opportunity if your operation can fulfill it. Sometimes, the smartest business decision is to say no… and mean it.
When “Yes” Creates Bigger Problems
Overpromising and underdelivering can quickly turn an exciting opportunity into an operational and financial setback. Incomplete deliveries, missed service schedules or dirty units can frustrate event organizers and attendees. Your employees may become overworked, while your existing customers receive less attention.
Even if you resolve the immediate problems, the experience may damage your reputation. Although service issues can sometimes become opportunities to build customer loyalty, avoiding preventable problems is always the better approach.
Can Your Operation Handle the Event?
Before signing a large event contract, take an honest look at your capacity. Do you have enough standard restrooms, ADA-compliant units, sinks and other requested equipment? More importantly, can you supply the event without taking equipment or service time away from current customers?
Consider your employees as well. Large events may require drivers and service technicians to deliver, stock, clean and retrieve dozens — or even hundreds — of units within strict timeframes. If your current team cannot cover that work, hiring additional employees could be necessary.
Your trucks, trailers and routes must also support the job. Build extra capacity into your plan for vehicle problems, employee absences, last-minute attendance increases and other unexpected situations. If the plan only works when everything goes perfectly, it probably does not work.

Can You Afford to Say Yes?
You may consider purchasing more equipment to secure a major contract. Before doing so, calculate the complete investment, including financing, labor, fuel, supplies, maintenance and storage. Knowing your cost of doing business helps determine whether the event will be profitable or simply generate a large invoice.
Think beyond the event, too. Will the additional units and equipment create revenue afterward? Buying inventory can support a long-term growth plan, but expanding for one event is risky when future demand is uncertain. One PRO’s experience with 18 units he almost purchased illustrates why every equipment opportunity deserves careful evaluation.
Say No Without Closing the Door
If the job exceeds your capacity, respond promptly and professionally. You might offer part of the requested inventory, partner with another trusted PRO or refer the organizer to a reliable provider.
Saying no does not mean your business is failing. It means you understand your limits and value dependable service. Protecting your employees, customers and reputation today puts you in a stronger position to confidently say yes to larger opportunities tomorrow.
